Bring your best product expert to every call. Your employee joins with its own face and voice, and answers questions when you ask.
Before you start
- Your product documents and pricing.
- A character (the face your employee shows). Use a Hero character made from a portrait, or any Basic, Advanced or Gemini Live character.
- A Google Meet, Microsoft Teams, Zoom or Webex meeting you can admit guests to.
Steps
1. Hire your meeting employee
Open Employees → Hire employee. Start from Account copilot or Onboarding guide, or write a custom role. Add your product documents and pricing pages as knowledge.
2. Set how it behaves in calls
Add this to its Instructions:
You join customer calls as [company]'s product expert. Stay quiet unless someone addresses you by name. When asked, answer in two or three sentences from our product documents and pricing, and offer to go deeper if needed. If you don't know, say so and say the team will follow up after the call. Never discuss contract terms or discounts.
Copying doesn’t change anything in your workspace.
3. Give it a face
Create a Hero character from a portrait in Library → Characters & backgrounds, or pick a ready-made one. A Hero character also lets you use Group meeting for calls with several people. See Choose characters, backgrounds and voices.
4. Save its meeting defaults
Open Deploy → Meetings. Choose Hero for a Hero character, or All for any other kind. In Employee setup, set the Display name in the call. Choose the employee, model, voice and character, then choose Save meeting defaults.
5. Invite it to your next call
In Invite & sessions, paste the meeting link. With Hero, turn on Group meeting. Your employee then speaks when addressed and steps in only when the discussion needs help. Choose Send invite. Admit your employee when it arrives, and introduce it to the room.
6. Review after the call
Read the conversation in Insights → Chat history. Add anything it couldn't answer to its knowledge, so it's ready for the next call.
Good to know
Tell everyone in the meeting that an AI employee is taking part, and follow your organization's recording rules. See Invite an employee to a meeting.
Troubleshooting
- It talks too much: make "Stay quiet unless someone addresses you by name" the first line of its instructions.
- It never joins: admit it from the waiting room or lobby.
- The face is wrong: pick another character in Employee setup and save.
