Start every day knowing what's ahead. Your employee reads your calendar and inbox and sends a short briefing to your phone. It also tells you when something urgent comes in.
Before you start
- A plan with connected apps (Starter and up). Connected apps are the apps your employees can use, such as Gmail.
- The email and calendar accounts you want it to read, such as Gmail and Google Calendar.
Steps
1. Hire your assistant
Open Employees → Hire employee and start from the Productivity operator template.
2. Connect your calendar and inbox
Open Library → Connected tools and connect your calendar and email apps. To begin with, allow only reading actions. See Connect apps.
3. Set up WhatsApp or Slack
Open Deploy → Messaging channels. Connect WhatsApp with your own number, or connect Slack. See Set up WhatsApp and Slack.
4. Ask for the briefing
Open Chat, choose your assistant and ask:
Every weekday at 8 am [your time zone], send me a briefing on WhatsApp: today's meetings with times and who's attending, any email that needs a reply today, and anything I should prepare. Keep it under 150 words.
Copying doesn’t change anything in your workspace.
5. Add a watch for urgent email
Ask: "Check my inbox every hour during working hours and message me on WhatsApp if a customer reports a problem." It appears under Recurring checks.
6. Check the schedule
Open Deploy → Scheduled tasks. The briefing is under Scheduled actions, with its next run time. See Give your employee recurring work.
Good to know
Start with reading actions only. Once you trust the briefings, you can allow drafting replies. Ask your assistant to show you every draft before anything is sent.
Troubleshooting
- The briefing doesn't arrive: check the channel is turned on in Deploy → Messaging channels. Then check the task is enabled in Scheduled tasks.
- It arrives at the wrong time: ask your assistant to correct the time zone.
- It misses meetings or emails: check the right accounts are connected in Library → Connected tools.
