This guide is for authorized reviewers who need evidence from individual records. You will select the right scope, inspect the relevant detail tab, and avoid treating a displayed or loaded-page download as a complete business report.

Before you begin

  • Choose the correct AI employee and date range.
  • For a custom range, enter both a start and end date.
  • Know whether you are looking for a conversation, lead, quiz attempt, or call.
  • Confirm you are authorized to view and download the information.
  • Prepare an approved location for any downloaded file.

Steps

1. Set the scope in Insights

Choose all AI employees or one employee, then choose one day, seven days, thirty days, or a custom date range. Remember that the workspace may use a different time zone from some visitors.

2. Review conversations in Chat Log

Open a conversation to inspect messages, times, and supported attachments. Search and paging apply to the records currently available in the view.

If a conversation is missing, adjust the employee, date range, or page before concluding it is unavailable.

3. Review submissions in Leads

Review information submitted through shared lead forms and open the related conversation where available. Protect exported lead information and store it only where your organization permits.

If a test submission is missing, confirm the selected employee and date range, then check other pages.

4. Review attempts in Quiz

Inspect attempts, answers, completion, and results for supported presentation employees.

A skipped question does not necessarily mean the learner answered incorrectly. Review the attempt details before drawing a conclusion.

5. Review calls in Call Logs

Inspect call time, duration, status, and transcript details when available.

If a transcript is missing, it may be unavailable or may have failed to load. Do not assume that no conversation occurred.

6. Download only the scope you can verify

Before using a download:

  1. Recheck the selected employee and date range.
  2. Check the current tab, filters, and page.
  3. Confirm which records are displayed or loaded.
  4. Download the file.
  5. Label the file with its verified scope and date.
  6. Store it only in an approved location.

Expected result

You can locate and inspect the relevant detailed record, distinguish a missing transcript or skipped answer from a final conclusion, and describe the exact visible scope of any downloaded file.

Status meanings

  • A skipped quiz question is not automatically an incorrect answer.
  • A missing call transcript does not prove that no conversation occurred.
  • Call status labels can vary; use the details shown for the record rather than inventing a meaning.
  • A record missing from the current page may still be outside the current filters, date range, or page.

Usage credit impact

This guide does not define a credit charge for reviewing or downloading records. The activity shown in Insights can include usage-credit information, but no per-record formula is approved here.

Information stored or shared

Detailed records can contain conversation content, lead information, quiz answers, call details, supported attachments, and transcripts when available. A download creates another copy outside Aivah.

Treat visitor-submitted text in spreadsheet files as untrusted content. Protect exported information and delete copies when they are no longer needed under your organization's approved process.

Limits and permanent actions

  • Search and paging apply to records available in the current view.
  • Downloads may cover only displayed or loaded records.
  • The guide does not define retention, deletion, export completeness, or transcript availability guarantees.
  • Do not use a partial file as the sole basis for high-stakes action.

Common problems and recovery
