What can an AI receptionist do for a gym, salon or spa?

An AI receptionist is an AI employee that answers your phone and website while your team is with a client. It answers questions about classes, treatments, prices and memberships. It takes booking requests with a name, number and preferred time, and your team confirms each one.

Picture Ironbark Gym, a fictional gym with one front desk. During the 6pm class, a caller asks about memberships. The AI employee gives the prices from its call prompt and takes her details.

  • It answers calls during classes and treatments, on your own Twilio number.
  • On your website, it answers from your timetable, price list and treatment menu.
  • It takes booking requests. It doesn’t see your diary or class lists.
  • It never gives health or medical advice. Injuries and reactions go to your team.
  • It can’t take payments or change memberships.

Which enquiries do gyms, salons and spas miss?

Small teams miss calls because their hands are busy. A trainer is teaching, a stylist is mid-colour and a therapist is in a treatment room. Many of the questions they miss are simple ones.

Each has a written answer somewhere: your price list, your timetable or your terms. That makes them a good first job for an AI employee.

  • Gyms: membership prices, joining fees, day passes, class times, parking and how to cancel.
  • Salons: prices, how long each treatment takes, who does what and when to do a patch test.
  • Spas: packages, gift vouchers, what to bring, age rules and changing rooms.
  • Everyone: opening hours, holiday hours and how to book.

How does it handle booking requests?

It takes the request, and your team confirms it. On a call, it takes the caller’s name, number and preferred time, then reads them back. On your website, the lead form asks for a name, email and phone before the chat starts.

It doesn’t see your diary or class lists, so it must never promise a place. Teach it to end with a line like this one: “The team will call you to confirm your place.”

Then confirm requests fast, before people book elsewhere. Ask your AI employee in chat for a reminder at set times, such as 1pm and 6pm. It arrives on WhatsApp or in Slack, which are for you and your team.

How do you set it up in an afternoon?

You need your price list, your timetable or treatment menu, and a Twilio number for calls. Twilio is the phone service your number runs on, and the number stays in your Twilio account. The built-in setup guide shows where to find each Twilio setting.

  1. Hire an AI employee from the Front desk template, or describe the job yourself.
  2. Upload your timetable, price list, treatment menu and membership terms.
  3. Connect your number under Deploy → Phone numbers, and pick the voice callers hear.
  4. Under Call persona, choose Front desk. If you pick Appointment setter instead, remove its lines that offer times.
  5. Read the drafted call prompt. Make sure it never offers or confirms a time.
  6. Add your hours, top prices and booking rules to the prompt. Calls are answered from the prompt, not your documents.
  7. Add the chat bubble to your website. It’s one line of code in your site’s footer.
  8. Call it from your mobile. Ask a price, ask for Thursday and mention a sore back.

Is it cheaper than hiring a receptionist?

It does a different job. A good receptionist greets people, sells memberships and calms upset clients. An AI employee covers the gaps: calls during classes, early mornings and late evenings.

For scale, the US median pay for a receptionist was $38,010 a year in 2025, says the Bureau of Labor Statistics. Phone answering in Aivah starts on Starter, at $99 a month. Twilio bills its own number and call charges on top.

Calls use credits, which are what your AI employee spends when it talks or chats. Insights → Call history shows each call, its transcript and the credits it used. After a week, Call history and your Twilio bill show your real cost.

What to watch: health, payments and memberships

Your clients will ask health questions. Your AI employee should never answer them as advice, so tell it what to say instead.

Salons need extra care with colour. The FDA advises a skin patch test before every use of hair dye. Your AI employee can repeat your patch-test rule, but any reaction goes straight to your team.

  • Injuries, pregnancy and medical conditions: it suggests checking with a doctor and offers a call from your team.
  • Payments and refunds: it can’t take them. It explains how to pay, using what you give it.
  • Memberships: it can’t freeze, change or cancel one. It takes the request for your team.
  • Price and timetable changes: update the documents and the call prompt on the same day.
  • Calls: tell callers they’re talking to an AI employee, and check local rules on call recording.

Questions gyms, salons and spas ask about AI

Can an AI receptionist book classes and treatments?

It takes booking requests with a name, number, the class or treatment and a preferred time. Your team confirms each one. It doesn’t add bookings to your diary or booking software.

Does it work with our booking software?

There’s no built-in link to booking or membership software. Requests land in Insights, and leads export as a CSV file. On Starter and up, you can connect apps you already use, such as Google Sheets and Gmail.

Can it answer the phone during a class?

Yes. It answers incoming calls on your own Twilio number, from the call prompt you write. It takes messages and saves a transcript of every call. Phone answering starts on Starter, at $99 a month.

Will it give health or fitness advice?

No. It can say who a class suits, using your own descriptions. If someone mentions an injury, pregnancy or a medical condition, it suggests checking with a doctor and offers a call from your team.

What does it cost to start?

You can start free, with no card. The Free plan gives you 3 AI employees and 1,000 credits to try it. Website chat starts on Hobby, at $10 a month.
