What is an AI receptionist?

An AI receptionist is software that answers your business phone and talks with callers in a natural voice. It greets them, answers the questions you’ve prepared it for and takes messages for your team. Unlike voicemail, it holds a conversation, and it can pick up at any hour.

In Aivah, your AI receptionist is an AI employee that answers incoming calls on your own Twilio number. Twilio is the phone service your number runs on. Every call is saved in Insights → Call history, Aivah’s call log, with a transcript where available.

  • It answers incoming calls. Your team makes any calls back.
  • It answers from its call prompt: plain-language instructions you write for the phone.
  • It takes messages and requests. A person confirms appointments and anything unusual.
  • It doesn’t transfer calls. Callers who need a person leave details for a callback.
  • Calls use credits, the units your AI employee spends as it works. Phone answering starts on Starter, at $99 a month.

What does an AI receptionist do on a call?

Take Maple Street Physio, a fictional clinic with two physios and no front desk. A caller rings at 7:40 in the evening. She wants to know if the clinic treats running injuries.

The AI employee greets her with the clinic’s name. It explains that the clinic treats running injuries and that a first visit takes 45 minutes. It knows both facts because they are in its call prompt.

She asks for a Thursday slot. The AI employee can’t see the diary, so it takes her name, number and preferred times, then reads them back. Next morning, a physio reads the call’s transcript in Call history and rings her to confirm.

How is it different from voicemail or an answering service?

Voicemail records a message and waits. Some callers hang up rather than leave one, and you learn nothing about what they wanted.

A phone menu asks callers to press 1 or 2. It sorts calls, but it can’t answer a question. An AI receptionist answers in plain speech and asks follow-up questions.

An answering service uses real people. They can handle odd requests and often put calls through to you, but each call costs more. Our side-by-side guide compares the two in detail.

04

When is an AI receptionist worth it?

It pays off when calls are frequent and repetitive, but nobody is free to pick up. It’s less useful if you rarely miss calls, or if most calls need a judgement call.

Cost matters too. US receptionists earned a median of $18.27 an hour in May 2025, or $38,010 a year, says the Bureau of Labor Statistics. Aivah’s phone answering starts at $99 a month, plus Twilio’s charges for your number and minutes.

If two or more of these sound familiar, it’s worth a trial:

  • You miss calls while you’re with a customer, on a job or closed.
  • Most callers ask the same few things: hours, prices, location and services.
  • Callers mostly need a message taken, not a decision made.
  • Your voicemail fills up, or callers hang up without leaving one.
  • A full-time hire would cost far more than the calls are worth.

What are the limits of an AI receptionist?

Products differ, so check the limits of any service you try. These are Aivah’s, plus two rules for any AI on your phone line.

  • Aivah can’t book appointments or take payments during a call. It takes the request, and your team confirms.
  • Aivah doesn’t transfer calls. For emergencies, your call prompt should tell callers who to ring instead.
  • On calls, it answers from the call prompt, not from documents you upload. Keep the prompt current.
  • Aivah connects one number per account. To have calls to your current number answered, ask your phone provider about forwarding them.
  • Any AI receptionist should stay clear of medical, legal or financial advice. Write that rule into the call prompt and test it.
  • Callers should know they’re talking to AI. Say so in the greeting, and check your local rules on recording calls.

How do you try an AI receptionist?

Start small, with the calls you already miss. The Help Center recipe walks you through each step.

For the first two weeks, read Call history every morning. Fix the call prompt wherever an answer was wrong or a message was thin.

  • Write down the 10 questions callers ask most, with your answers.
  • Start free and build your AI employee from the Front desk template.
  • Move to Starter, then connect your Twilio number under Deploy → Phone numbers.
  • Pick the Front desk call role, then edit its call prompt: greeting, facts and details to take.
  • Call it yourself. Ask a price, ask for a person and try to confuse it.
  • Send it after-hours calls first. Add busy-time overflow once you trust it.

Questions people ask about AI receptionists

Is an AI receptionist just a fancy voicemail?

No. Voicemail records a message and waits. An AI receptionist talks with the caller, answers common questions and takes the details your team needs to call back.

Will callers know they’re talking to AI?

They should, and Aivah’s Help Center asks you to tell them. Being open builds trust. Say so in the greeting, for example: “Hi, you’re through to our AI receptionist.”

Can I keep my business number?

Aivah answers calls on a number in your Twilio account, and the number stays there. To have calls to your current number answered, ask your phone provider about forwarding them.

Can it book appointments during a call?

No. It takes the caller’s details and the times that suit them, then reads them back. Your team confirms the appointment.

What does an AI receptionist cost?

You can start free in Aivah, with no card. Phone answering starts on Starter, at $99 a month. Calls use credits from your plan, and Twilio bills its own number and call charges.

Ready to hear it answer your phone?
